💼 Job Title: Project Manager – Pharma Advertising Agency

📍 Location: Remote - Irvine, CA

⏰ Work Hours: WEST Coast Hours

📄 Duration: 12 months – Possible extension

This is a project-based contractor role. A 40-hour work week is not guaranteed.

**Topic to be vetted prior to interview - A 40-hour work week is never guaranteed as a contractor. The expectation is that once the employee is fully up to speed, the workload will equate to an approximate 40-hour work week. This can change at any time. Workloads ebb and flow — Projects are put on hold, have no activity while in MLR Review, no activity while with a development partner, etc. Again, a 40-hour work week is never guaranteed.**

Once fully ramped up, workload generally averages close to 40 hours per week but may fluctuate depending on active projects, MLR review cycles, and development timelines. Some weeks may be lighter (20–25 hours), while others may be heavier (30–40 hours). Flexibility is required.

  • Strong agency experience is critical and will be a primary screening factor.
  • Candidates must be comfortable following structured agency processes and workflows.
  • Workload will fluctuate based on project activity; flexibility is required.
  • Open to candidates located anywhere in the continental U.S. who can work the required time-zone hours.

âś…Qualifications:

  • Minimum 5 years of experience in an advertising agency environment.
  • Experience working in a pharmaceutical or regulated industry.
  • Working knowledge of MLR review processes and Veeva submissions would be ideal.
  • Experience using Workfront and ProofHQ is s bouns.
  • Basic understanding of front-end concepts (HTML, CSS, CMS, tagging, QA/testing) to support timelines and effort estimation.
  • Comfort managing documentation, forms, technical requirement files, and approval records.
  • Proven experience managing digital or interactive projects end-to-end.
  • Strong understanding of agency workflows, approval processes, and structured project management.
  • Experience coordinating cross-functional teams, including creative, developers, account teams, and external vendors.
  • Strong problem-solving skills in a collaborative, team-based environment.
  • Strong written and verbal communication skills.

đź§­Role Overview:

  • The Interactive Project Manager supports a creative/advertising agency environment and is responsible for managing digital and interactive projects only. This role focuses on coordinating timelines, approvals, documentation, and delivery for digital assets such as websites, emails, banner ads, and other online materials.
  • This is not a content creation role. The Project Manager ensures that assets are complete, reviewed, approved, and delivered on time while following structured agency workflows.

🛠️Key Responsibilities:

  • Manage digital and interactive projects end-to-end, including websites, emails, banner ads, and other online assets.
  • Develop and maintain detailed project schedules, scopes of work, timelines, and estimates.
  • Lead regular status meetings with internal teams and clients, track risks, dependencies, and action items.
  • Route digital assets through internal agency and client approval systems such as ProofHQ and Workfront.
  • Prepare and submit assets and documentation for Medical, Legal, and Regulatory review using Veeva.
  • Coordinate creative, studio, development, and technical resources to ensure on-time delivery.
  • Serve as the primary point of contact for third-party development and deployment vendors.
  • Schedule meetings, capture meeting notes, and distribute recaps with clear action items.
  • Maintain project and department documentation, including technical specs, server folder structures, and tracking files.
  • Support QA, testing coordination, approvals, and final delivery of digital assets.
