About The Role

We are seeking a dedicated and detail-oriented HR Specialist to join our team on a full-time basis. This role is vital in supporting the daily operations of our Human Resources department, ensuring accuracy, compliance, and a positive experience for our employees. The HR Specialist will serve as a key point of contact for various HR functions, including payroll, employee data management, onboarding, reporting, and benefits administration. This position offers an excellent opportunity for a professional looking to grow their career within a fast-paced, innovative environment that values collaboration and continuous improvement. The role is remote, with preference given to candidates located in the Northwest Suburbs or Chicagoland Area in Illinois.

Qualifications

The ideal candidate will possess an associate or bachelor’s degree, or equivalent work experience, with a minimum of three years of HR-related experience. Prior experience with HRIS and payroll systems such as Paylocity, ADP, or Workday is preferred. Candidates should demonstrate strong organizational skills, attention to detail, and excellent communication abilities. Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams, is essential. The candidate must handle confidential information with discretion, prioritize multiple tasks effectively, and work independently in a remote setting. A professional demeanor combined with a proactive attitude is crucial for success in this role.

Responsibilities

The HR Specialist will be responsible for a broad range of tasks, including but not limited to:

  • Maintaining accurate employee records and updating HRIS data to ensure data integrity and confidentiality.
  • Organizing HR files and supporting document management processes, including updates to company policies and procedures.
  • Preparing routine HR reports such as headcount, turnover, and other metrics to support management decision-making.
  • Assisting with audit documentation and maintaining organized HR data, including organizational charts and employee files.
  • Supporting compliance efforts by tracking employee training, certifications, and maintaining I-9 documentation, along with supporting file audits.
  • Ensuring labor law postings are current and compliant with applicable regulations.
  • Coordinating onboarding logistics, preparing new hire documentation, and ensuring a smooth onboarding experience for new employees.
  • Acting as the primary contact with Paylocity to manage payroll activities, ensuring accurate and timely employee payments, and assisting with payroll audits and employee inquiries.
  • Providing administrative support for benefits administration, open enrollment, and tracking leave of absence, workers’ compensation, and OSHA documentation.
  • Scheduling meetings, interviews, and HR-related activities, as well as preparing HR documentation and correspondence.
  • Supporting special projects, including updating job descriptions and other HR initiatives to improve departmental efficiency.

This role requires a proactive approach, excellent organizational skills, and the ability to handle multiple tasks efficiently in a remote work environment.
