About The Role
We are seeking a detail-oriented HR Operations Coordinator to join our dynamic team. This hands-on role is pivotal in managing day-to-day HR operations, including leave administration, onboarding and offboarding processes, compliance documentation, and employee and contractor support. The ideal candidate will thrive in a structured environment, possess excellent organizational skills, and have a passion for ensuring HR processes run smoothly. You will serve as a key point of contact for employee relations, compliance, and administrative support, contributing to our mission of maintaining an efficient, compliant, and employee-centric HR function.
Qualifications
- 5+ years of professional work experience, including at least 2 years in HR with multi-state exposure
- Bachelor's degree or equivalent practical experience
- Working knowledge of federal and multi-state employment laws and fundamentals
- Strong organizational and documentation skills with excellent attention to detail
- Experience navigating complex HRIS platforms such as Paychex
- Hands-on experience with I-9 verification, unemployment claims, and wage garnishment processes
- Preferred: PHR (HRCI) or SHRM-CP certification or active pursuit of certification
- Preferred: Experience supporting contractor workforce administration
- Preferred: Solid understanding of employee benefits (health, dental, vision, 401(k))
- Preferred: Notary Public commission or willingness to obtain one
- Administer Gaggle's in-house leave program, including tracking usage, documentation, and approvals/denials
- Track and apply state-specific paid leave programs, escalating questions as needed
- Communicate promptly with HR and Finance regarding all leave needs
- Maintain documentation for ADA interactive process and compliance requirements
- Handle onboarding and offboarding logistics for employees and contractors, including contractor-specific recordkeeping
- Ensure compliant I-9 verification and documentation for all new hires
- Manage background check workflows and related administration
- Support recruiting efforts, including managing job postings and responding to candidate inquiries
- Maintain a comprehensive list of state registrations, powers of attorney, and system logins
- Respond to employment verification requests efficiently
- Assist with annual handbook review and compliance initiatives
- Support federal and state employment filings such as ACA, EEO-1, and Form 5500, ensuring deadlines are met
- Maintain multi-state contractor classification framework and communicate implications to relevant teams
- Serve as the primary contact for garnishment orders, court documents, and unemployment claims
- Maintain HR documentation and records across systems, including contractor agreements and renewals
- Troubleshoot issues with HR systems like Paychex and support system enhancements
- Assist with the annual performance review process and routine HR administrative tasks
- Generate HR reports, including custom reports, from HRIS platforms as needed
- Track employee status changes for accurate recordkeeping
- Provide administrative support to HR and Finance teams, including vendor coordination and event logistics
- Cross-train on core HR processes to ensure team continuity
- Serve as a first point of contact for employee questions or concerns, maintaining confidentiality and professionalism
