The Meadows Mental Health Policy Institute (Meadows Institute) seeks a collaborative and strategic professional to serve as Funding Lifecycle Manager. The Funding Lifecycle Manager supports the Meadows Institute’s revenue-generating work by coordinating proposal development, submission, reporting, and stewardship activities for assigned program teams and major gift officers. This role functions as a project and process manager, ensuring that funding-related milestones are met on time, at high quality, and with clear accountability across stakeholders. The preferred work location for this position is in Texas. This position may not be filled or performed in California, Colorado, Connecticut, District of Columbia, Hawaii, Illinois, Maryland, Minnesota, Montana, Nevada, New Jersey, New York, Rhode Island, Vermont, or Washington at this time. Statewide travel (up to 10%) may be required. Some duties may require access to reliable personal transportation. Responsibilities Proposal Development and Submission Coordination

  • Coordinate proposal development activities for assigned program teams and major gift officers, establishing clear timelines and roles to ensure, timely submissions.
  • Support proposal initiation by helping program teams get started, including preparing templates, drafting pro forma language, assembling required sections, and adapting content from previous submissions where appropriate.
  • Serve as the primary point of coordination for proposal mechanics, allowing program teams to focus on content and fundraisers to focus on relationship management.

Reporting and Stewardship Coordination

  • Manage post-award funding lifecycle requirements, including reporting deadlines, stewardship deliverables, and renewal timelines.
  • Work with program teams and major gift officers to ensure reports and stewardship materials are completed accurately, on time, and in alignment with funder expectations.
  • Maintain visibility into upcoming obligations and proactively flag risks, dependencies, or capacity constraints.
  • Monitor proposal volume, Request for Proposal (RFP) activity, deadlines, team capacity, and post-award obligations.

Cross-Functional Liaison and Project Management

  • Function as a liaison between program teams, major gift officers, writers, editors, and other support staff to ensure smooth coordination and clear communication.
  • Drive completion of high-quality deliverables by coaching, reminding, and problem-solving with stakeholders as needed.
  • Hold stakeholders accountable to agreed-upon timelines while maintaining strong, respectful working relationships.

Writing and Content Support

  • Provide writing support as needed, including drafting standard sections, adapting prior language, and assembling coherent drafts for review.
  • Maintain organizational records of past proposals, reports, and funder preferences to support efficient reuse, consistency, and institutional memory.
  • Partner with writers and editors to ensure materials are clear, complete, and ready for submission.

Process Discipline and Continuous Improvement

  • Use project management and Customer Relationship Management (CRM) tools (e.g., Monday.com, SharePoint, Salesforce) to manage timelines, tasks, dependencies, and visibility across proposal development, reporting, and stewardship workflows.
  • Follow established proposal and funding lifecycle workflows and contribute feedback to improve processes over time.
  • Identify recurring challenges or inefficiencies and elevate recommendations to the Proposal Director.
  • Other duties as assigned.

Requirements Required Qualifications

  • Bachelor's degree in Business, Social Work, Public Affairs, or related field.
  • 3-7 years of professional-level experience coordinating complex, deadline-driven projects in proposal development, grants, contracts, consulting, or similar professional environments.
  • Excellent written and verbal communication skills.
  • Ability to learn programmatic content over time and apply that knowledge to improve efficiency and quality.
  • Able to operate effectively in a fully remote setting and collaborate across time zones; primary working hours align with Central Time.
  • Outcomes-driven, with a strong bias toward follow-through and continuous improvement.
  • Detail-oriented, proactive, and comfortable managing process in fast-paced, deadline-driven environments.
  • Experience using project or process management tools such as Monday.com, Asana, Smartsheet, or similar platforms to coordinate work across multiple stakeholders.

Preferred Qualifications

  • Demonstrated ability to work collaboratively across functions and to influence without formal authority.
  • Demonstrated project management expereince and ability to track multiple deliverables and deadlines simultaneously.
  • Project Management Certification.
