We are looking for a warm, personable, and upbeat ABA Intake Coordinator to join our team on a full-time basis. As the first point of contact for families seeking our ABA therapy services, this person sets the tone for a family's entire experience with Horizons ABA — guiding them through the intake process with warmth, knowledge, and genuine care. The Intake Coordinator builds trust with families while confidently guiding them toward enrollment in our services. Because timing matters and our potential clients have an immediate need for care, we're looking for someone who responds to leads quickly and follows up consistently, ensuring no family falls through the cracks.

Key Responsibilities
- Manage incoming client leads and inquiries via phone, email, and online forms, responding quickly to maximize conversion
- Manage pipeline of leads utilizing internal CRM (MondayCRM)
- Schedule consultation calls with prospective clients and confidently guide families toward enrollment in our services
- Assess the suitability of potential clients for ABA therapy based on provided information
- Accurately input client data and maintain up-to-date records of all interactions and intake activities
- Coordinate and collaborate with recruiting, operations, and clinical staff to ensure a smooth transition from intake to therapy services
- Communicate effectively and empathetically with families, demonstrating a high level of customer service
- Follow up promptly and consistently with families throughout the intake process, from first contact through onboarding
- Maintain confidentiality and handle sensitive information with professionalism
- Continuously refine and improve the intake process to enhance the overall client experience
Qualifications
- Previous experience in an intake, customer service, or administrative role, healthcare, preferably in ABA therapy
- A warm, personable, and empathetic demeanor that puts families at ease from the very first conversation
- Quick response times and diligent follow-up habits — comfortable managing a high volume of leads without letting any go unanswered
- Exceptional attention to detail and organizational skills
- Excellent verbal and written communication skills
- Ability to work independently and efficiently in a fast-paced environment
- Proficient with Microsoft Office, Google Workspace (Sheets, Docs), and client management software; experience with MondayCRM is preferred
Preferred Qualifications
- Familiarity with ABA therapy or experience working with children with autism
- Bilingual abilities are highly desirable
- Previous experience with Central Reach or other ABA-specific software
