We are seeking an efficient and detail-oriented Legal Administrative Assistant who is highly experienced in supporting litigation attorneys in a fast-paced environment, handling everything from scheduling to systems management with excellence. This employee will be self-motivated with a strong work ethic to proactively check their work before it is sent to the Attorneys/clients. Responsibilities:
- Calendar & Scheduling: Manage two busy attorney calendars including scheduling witnesses, complainants, clients, interviews, and internal/external meetings; proactively resolve scheduling conflicts and plan travel arrangements.
- Inbox & Task Management: Oversee daily attorney inboxes, flag priorities, convert emails into tasks, and track items through completion.
- Document Support: Draft, format, revise, and proofread correspondence, reports, PowerPoints, and legal documents; process and route documents using strict naming and versioning protocols; open and close matters and prepare retention agreements.
- Attorney Enablement: Prepare call/meeting briefs, assemble documents and exhibits, summarize attorney notes with speed and clarity, and track deliverables.
- Billing & Finance: Prompt attorneys for time capture, enter and reconcile billable hours, handle invoicing, accounts receivable, collections, and payroll coordination.
- Client Service: Respond to clients professionally and promptly with confidentiality
- Digital Organization: Manage Clio platform and evidence tracking via Excel; organize OneDrive, Dropbox, and other shared records.
- Marketing Support: Coordinate marketing efforts and manage LinkedIn and/or other social media posting.
- Administrative Projects: Answer phones, close out client emails, support office/system projects to improve efficiency, and complete occasional personal assistant assignments.
Requirements:
- Must be able to work a full 8 hours per day during normal working hours and have the flexibility to attend occasional in-person meetings in Chicago
- 4+ years of legal assistance experience in a litigation firm supporting multiple attorneys in a high-volume, fast-paced environment
- Must have a typing speed of at least 45–50 wpm, 60–70 wpm is preferred
- Exceptional organizational, written, and verbal communication skills
- Must have strong attention to detail, be proactive at problem-solving, and be professional at all times with clients
- An ability to thrive in a deadline-oriented environment while managing multiple tasks, following through on tasks to completion, and anticipating Attorney needs
- Must be able to work effectively with attorneys that have varying work styles
- Must be discreet and trustworthy with confidential information
- Tech-savvy and proficient in Microsoft Office, SharePoint, Teams/Zoom, OneDrive, and Dropbox
- Experience with case management software (including intake procedures, deadlines, and case lifecycle steps)
- Familiar with legal billing/time entry and digital document management
- Comfortable managing LinkedIn posting and basic social media tasks
Bonus Experience:
- Have worked at an employment law firm
- Familiarity with Levitate or other CRM/marketing tools
