Role Description
We are looking for a proactive and detail-oriented Property Management Assistant with impeccable communication skills to interact daily with tenants and vendors. This role supports the day-to-day operations of our commercial, medical, and industrial properties, ensuring exceptional tenant satisfaction and efficient property performance. Responsibilities include managing service requests, coordinating maintenance and inspections, assisting with move-ins and move-outs, and maintaining accurate lease compliance and documentation. The Property Management Assistant will also help maintain clerical, filing, and record-keeping systems while identifying and striving to meet tenant needs.
The ideal candidate is organized, dependable, and skilled at balancing multiple priorities. They will be responsible for preparing or reviewing weekly, monthly, and quarterly reports—including rent collections—and assisting the Property Management department in coordinating all portfolio activities in accordance with company standards. Experience with Yardi, Facility Manager, and Commercial Cafe is a plus, preferred but not required.
Qualifications, Skills, and Key Responsibilities:
- Serve as the primary point of contact for tenants and vendors, demonstrating expert-level communication, writing, and email skills.
- Support day-to-day operations of commercial, medical, and industrial properties.
- Assist with lease administration and ensure compliance with lease terms.
- Maintain accurate documentation, reporting, and filing systems.
- Prepare and review weekly, monthly, and quarterly reports, including rent collections and KPI tracking.
- Identify and proactively address tenant needs to ensure exceptional customer service.
- Strong communication and customer service skills.
- Experience in property management and lease administration.
- Excellent administrative, organizational, and time management skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Proficiency in Microsoft Office Suite, Teams, and Adobe Acrobat Pro, and RingCentral.
- Reliable high-speed internet, a dedicated distraction-free workspace (no Mac computers), and multiple monitors.
- High energy, self-motivated, self-sufficient, and able to manage multiple projects under tight deadlines.
- Ability to adapt quickly, maintain professionalism under pressure, and meet team objectives.
