Role Description
POLARIS National Security is seeking a highly organized and detail-oriented Operations Manager to own the day-to-day operational and administrative functions of a growing national security nonprofit. This role is suited for a self-directed professional with 3–5 years of experience who can manage organizational systems with accuracy, discretion, and minimal supervision.
This role offers meaningful responsibility, exposure to organizational leadership, and the chance to build durable operational processes in a fast-paced policy environment. Work responsibilities are largely remote, but proximity to Washington, D.C. is strongly preferred.
Responsibilities:
- Manage team calendars, scheduling, and meeting coordination
- Coordinate events, including venue booking, vendor coordination, communications, and tracking event-related expenses
- Maintain organized digital files, documents, and records
- Support the execution of email communications, including preparing and distributing email campaigns to established contact lists
- Maintain and update contact databases to ensure accuracy, segmentation, and data integrity
- Prepare monthly expense reports
- Perform routine website updates and basic content management
- Track tasks, deadlines, and operational details
- Maintain simple systems and documentation to ensure consistency and accountability
Requirements:
- 2–4 years of experience in executive support, operations, or similar administrative roles
- High discretion when handling confidential material
- Familiarity with remote work and asynchronous communication
- Extremely detail-oriented, organized, and able to multi-task
- Comfortable in a fast-paced work environment
- Strong organizational and time-management skills
- Self-starter capable of learning new functions quickly and accurately
- Proven ability to manage multiple priorities independently
- Proficiency with Google Workspace and Microsoft Office
Preferred Requirements:
- Prior experience in Congress, the Executive Branch, or on political campaigns
- Experience in political communications, public affairs, or digital content creation
