Role Overview
The HR & Finance Coordinator is an administrative support role designed for someone who is detail-oriented, organized, and proactive. You will assist with basic HR tasks, Accounts Receivable follow-ups, internal documentation, and general operations.
This role is perfect for someone who enjoys supporting others behind the scenes, staying organized, and keeping operations running smoothly.
Key ResponsibilitiesAccounts Receivable Support
- Send friendly, professional payment reminder emails to clients.
- Track payments received and note outstanding balances.
- Consistently follow up so nothing is missed.
- Connect with campaign coordinators/managers to obtain additional contact emails when no response is received, and/or request to be looped into the campaign chain for faster resolution.
- Assist with sending invoices as needed — primarily when the Director of HR & Finance is out of the office; training will be provided for this task.
HR & Payroll Support
- Assist in collecting the necessary information for payroll processing.
- Help with basic HR paperwork, benefit updates, and employee records.
- Maintain organized digital employee files.
- Support onboarding and offboarding steps by sending forms, links, and reminders.
Systems & Admin Support
- Assist with basic tasks in Gusto (time tracking updates, device list maintenance, etc.).
- Update internal trackers, shared documents, and digital folders as needed.
- Keep HR & Finance documentation organized and easy to navigate.
- Help with scheduling, internal reminders, and follow-up tasks.
General Administrative Support
- Provide day-to-day support to the Director of HR & Finance.
- Help manage task lists, deadlines, and paperwork.
- Assist with internal communication and team coordination.
- Collect contact information for new team members and maintain the internal contact directory.
- Add new team members to Asana and the team calendar for birthdays and work anniversaries.
- Send team birthday and work anniversary cards and coordinate gifts as applicable.
Qualifications
- 1–3 years of experience in administrative support, HR assistance, finance support, or coordination.
- Highly organized, detail-oriented, and reliable.
- Comfortable working remotely and managing daily tasks independently.
- Ability to handle confidential information with professionalism.
- Experience with HR or finance tools is helpful but not required — training provided.
