Duration: 18-months

Start Date: December 8th, 2025

Job Description:

This position supports the Pharmaceutical Project Management (PPM) function by leading and executing the organization, governance, and optimization of clinical program SharePoint environments. The role is designed to relieve current PPM capacity and strengthen operational execution for late-phase programs in the cardio-metabolic therapeutic area.

While the initial scope will focus on SharePoint management and administrative support, the position will expand to include broader program coordination and delivery responsibilities as the programs progress.

Key Responsibilities:SharePoint Governance & Management (Primary Focus)

  • Serve as the primary contact for SharePoint site organization, maintenance, and access control across assigned late-phase programs.
  • Manage permissions, access requests, and roster reviews to ensure proper compliance and version control.
  • Build and configure new SharePoint sites and libraries as needed, ensuring alignment with organizational templates and data standards.
  • Streamline site structure and document management practices to improve accessibility and consistency across global teams.
  • Collaborate with IT and program leadership to implement best practices for data organization, site navigation, and user experience.
  • Monitor user activity and ensure adherence to document retention and governance policies.

Program & Project Coordination Support

  • Support Lead PPMs in managing late-phase cardio-metabolic programs, ensuring timely progress against milestones and deliverables.
  • Assist in the development and maintenance of project trackers, timelines, and reporting dashboards.
  • Coordinate cross-functional communication, meeting scheduling, and documentation for program activities.
  • Support planning, preparation, and execution of team meetings, document reviews, and submission-related deliverables.
  • Maintain organized program documentation to ensure readiness for audits, reviews, and regulatory compliance.
  • Track team rosters, ownership lists, and access alignment across multiple SharePoint environments.

Continuous Improvement & Collaboration

  • Identify opportunities to enhance efficiency in document sharing, access management, and workflow automation.
  • Partner with PMO and PPM leadership to standardize SharePoint templates, folder structures, and permission frameworks.
  • Support onboarding of new program team members by maintaining clear access guides and training documentation.
  • Contribute to shared learning by identifying pain points and recommending improvements to digital collaboration practices.

Qualifications:Required

  • Bachelor’s degree in life sciences, healthcare, information systems, or related field.
  • 3+ years of experience in the pharmaceutical, biotechnology, or clinical research industry.
  • Proven expertise in SharePoint administration, including permissions management, site creation, content organization, and access governance.
  • Strong organizational, problem-solving, and communication skills with the ability to manage multiple priorities independently.
  • Experience supporting project or program coordination within a cross-functional team environment.

Preferred

  • Experience with late-phase clinical or drug development programs.
  • Understanding of documentation standards, clinical systems, and regulatory requirements in drug development.
  • Familiarity with project management principles and tools (PMP certification not required).
  • Experience collaborating with PMOs or digital transformation initiatives involving SharePoint or similar platforms.
