Operations Project Manager (M&A Support & Program Delivery)

Job Description:

·     Title: Operations Manager, M&A Support & Program Delivery

·     Reports to: Founder / Senior Managing Director

·     Location: Remote (Pacific Time Zone preferred)

Overview

Seeking a resourceful and detail-driven Operations Manager with prior experience in mergers & acquisitions (M&A), investment banking, and project management to lead operational workflows across both the deal execution and strategic marketing arms of our investment banking firm. This role bridges project management, outsourced team coordination, and program operations, including oversight of due diligence, VDR setup, and coordination of client materials. The Operations Manager works closely with the Founder to drive forward strategic goals, proactively prioritize tasks, and ensure seamless execution across projects.

Key Responsibilities

·     Transaction Support & Due Diligence

o  Manage Dropbox staging and virtual data room (VDR) setup, tracking, and updates

o  Oversee user permissions, folder organization, and upload coordination with client teams

o  Maintain internal Excel trackers to reflect % completion and VDR status

o  Collaborate with legal/compliance and work closely with the Founder to safeguard sensitive data and maintain deal momentum

o  Coordinate timelines and workflows across internal team and external buyers

o  Leverage prior M&A or investment banking experience to anticipate deal-related needs and streamline diligence processes

o  Anticipate future blockers or task dependencies that may impact workflow, and surface low-priority tasks that require tracking but not immediate attention

·     Outsourced Resource Management

o  Assign tasks to Upwork/freelance partners for video editing, copywriting, social content, podcast outreach, etc.

o  Review deliverables and ensure quality control before final handoff

o  Maintain workflow documentation, style guides, and communication protocols

·     Internal Operations

o  Prioritize and track admin tasks: formatting, electronic filing, task sorting based on urgency and relevance

o  QC all external communications before release (emails, decks, invites, etc.)

o  Monitor brand assets across web and social platforms

o  Support special projects or strategic priorities led by the Founder

Requirements

·     3+ years of experience in operations and project management

·     Experience in M&A, investment banking, private equity, or similar transaction-heavy environment is required

·     Proven track record managing projects, timelines, and outsourced contributors across multiple workflows

·     Strong prioritization skills with the ability to distinguish between urgent needs and long-term priorities while maintaining awareness of both

·     Highly organized, tech-savvy, and proactive communicator

·     Familiarity with Dropbox, Excel, iDeals or similar VDR platforms  is a plus

·     Experience in marketing ops or light creative/copy tasks a plus

Responsibilities

  • Conduct modeling and financial analyses
  • Work with databases to research valuation, precedent transactions, and other investors and buyers for client companies
  • Participate in preparing financial reports via Excel
  • Assist in project plans and presentations using Power Point and other tools
  • Assist with setup and maintenance of client/deal data rooms

Qualifications

  • Bachelor's degree or equivalent experience
  • 0 - 3 year professional working experience
  • Proficient with Microsoft Office with particular emphasis on Excel and Power Point
