(100% Remote - some travel required)SeniorPayroll SpecialistJob Description The role of the Senior Payroll Specialist involves managing and overseeing core payroll processes. This position requires ensuring the efficient operation of payroll systems, supervising staff, and recommending process improvements. The specialist will ensure compliance with local, state, and federal laws and regulations, and will lead initiatives to modernize payroll processes. Responsibilities
- Oversee all payroll system functions for enterprise-wide payroll processing.
- Supervise staff in recruitment, selection, training, and performance management.
- Ensure accurate and timely processing of payroll for all entities and affiliates.
- Audit data input and verify authenticity of payroll output.
- Balance bi-weekly payroll, payroll balance sheets, and summaries.
- Distribute payroll checks and manage unclaimed checks.
- Update payroll database with status changes, tax withholdings, and union rate schedules.
- Manage payroll adjustments including shortages, garnishments, and manual computations.
- Champion payroll initiatives such as electronic pay and paperless time tracking solutions.
- Work with vendors to ensure payroll system compliance with laws and company policies.
- Maintain up-to-date tax profiles for all work locations, including remote employees.
- Serve as subject matter expert for payroll, troubleshooting issues and liaising with vendors.
- Lead payroll system customizations, upgrades, and conversions.
- Integrate pay practices across affiliates, complying with collective bargaining agreements.
- Synchronize benefits and payroll systems for employee deductions.
- Provide system reports including overtime and accrual summaries.
- Reconcile year-to-date payroll for W-2 processing.
- Distribute regulatory notifications and manage payroll audits.
- Coordinate with accounting for accurate information transfer to the general ledger.
- Direct vendor in completing and reconciling payroll tax filings.
- Attend continuing education in payroll, tax, and related fields.
Essential Skills
- Revenue Cycle Management
- Experience with Avatar, UKG, and Payroll processing systems
- Certified Payroll Professional (CPP) certification preferred
- Proficiency in Excel
Additional Skills & Qualifications
- Ten years of experience in enterprise-level payroll systems.
- Five years of supervisory experience.
- Experience with California and New Jersey payroll.
- Experience with payroll and time system implementations.
- Strong attention to detail and time management skills.
- Ability to solve problems independently.
- Intermediate experience with report-writer applications and Microsoft Office.
Work Environment This is a remote position that reports to the VP of HR Operations. Candidates must be local to the Greater Philadelphia area or reside in NJ, DE, CT, New England states, or North Carolina. The role involves managing a team of 3-4 payroll professionals, including Senior Payroll Analyst, Payroll Analyst, and Payroll Administrator. Continuing education is required quarterly. Pay And Benefits The pay range for this position is $50.00 - $55.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
