Legal Administrative Assistant - Workers' Compensation Defense
- Work Remote Optional - California Residents ONLY
Job Purpose The Administrative Assistant would support approximately six Legal Assistants, allowing for balanced workload distribution and scalability. Coordinate preparation of PDF letters and correspondence for file and assisting in administrative tasks. Duties And Responsibilities
- Emailing and efaxing simple client and party correspondence, and printing of correspondence to assigned Print Partners
- Preparing PDFs of letters with enclosures and other standard assembling of documentation as needed
- Placing prepared documents into the file
- Assisting with Schedule of Records for Supplemental Reports and Trial Exhibits
- Perform FileNet checks for documents and bringing documents into the file
- Placing and receiving routine phone calls to EDD, doctor’s offices, and applicant’s Attorney’s offices
- Logging and routing messages
- Other clerical duties as assigned
Skills/Qualifications
- Excellent knowledge of Microsoft Outlook, Word, Adobe Acrobat, and Dropbox or other shared cloud storage
- Skilled typing ability as well as strong proofreading, spelling, and grammar skills
- Case Management Software and EAMS are a plus
- Ability to interact effectively with the public, clients, and employees
- Maintain confidentiality and use discretion and tact
- Experience as a Legal Secretary at a workers' compensation firm (preferred)
The ideal candidate will be highly organized, detail-oriented, and work well under pressure with the ability to juggle multiple tasks simultaneously. Must possess excellent verbal and written communication skills and have pride in work product. This is a fast-paced position that requires critical thinking skills, and the ability to problem-solve. In addition, this role must work collaboratively with attorneys and staff at all levels to achieve goals.
